Deposits, cancellations, damage, delivery
The same terms Robyn confirms with you. Your signed quotation carries the full conditions and takes precedence.
Who you are dealing with
Xtreme Promotions Sound and Lighting (Pty) Ltd (trading as Xtreme Events), company registration K2022572167, VAT registration 4600310520. No.2 Mondustria Park, 365 Dewar St, Derdepoort, Pretoria, 0082. Phone 072 403 1895, info@xpsl.co.za, website xpsl.co.za. Run by its sole owner, Jandré Janse van Rensburg. Registered in South Africa with the Companies and Intellectual Property Commission (CIPC). Package prices on this site are shown inclusive of VAT. Travel is itemised separately and charged on the return trip, from our nearest depot, Derdepoort (Pretoria) or Epping Industrial Park (Cape Town), to the venue and back: by bakkie at R 11.50 per km incl VAT (R10/km excl VAT) for everything up to a Diamond package, and by truck at R 20.70 per km plus a R 2 875 truck fee incl VAT (R18/km plus R 2 500 excl VAT) for Platinum, Inimitable and any set-up with more gear than a Diamond.
Locking a date
The website pencils your date; Robyn confirms it personally. For a wedding, a 20 % deposit, payable within 7 days of confirmation, secures the booking, the crew and the gear, and the balance must be paid and cleared 72 hours before load-in (when the crew arrives on site). For every other event, a 50 % deposit secures the booking, and the balance must be paid and cleared one week before the event. The deposit is non-refundable, because we turn other events away for your date: if you cancel after confirmation, the deposit is the whole cancellation charge, and there is no further cancellation fee. As section 17(5) of the Consumer Protection Act requires, we do not keep the deposit if you cancel because the person the booking was made for has died or been hospitalised. No services are rendered until payment is complete. Payment is by EFT to the bank account on your invoice, with the invoice number as the reference; this website takes no payments. DJ overtime past your package's cut-off time is R 1 725 per hour incl VAT (R 1 500 excl VAT); the Party Package's own overtime after midnight is R 1 150 per hour incl VAT (R 1 000 excl VAT). Live performances by any artist, and any special artist requirements, carry a cost implication.
Late payment
If a payment is more than one week late, interest is charged on the amount outstanding at 2 % a month (24 % a year), simple interest, and an account that stays unpaid is handed to our attorneys. Interest and charges never add up to more than the amount outstanding.
Your wedding questionnaire
For weddings, the completed questionnaire (songs, timeline, floor plan) must reach us at least 4 days before the event so your DJ can prepare properly. Robyn sends it to you once your date is secured.
Power and site requirements
The venue or client supplies sufficient power: 220 V 20 A within 40 m of each setup point; minimum 3 kVA at the ceremony and 12 kVA at the reception. Where house power is used, damage to our equipment caused by power surges, dips or abrupt cut-offs is for the client or venue's account (at a partner venue with our in-house installation, that damage is ours). We always work on our own PA and lighting systems, never the venue's installed equipment. Any structure higher than 900 mm needs a certificate of compliance, at R 4 025 incl VAT (R 3 500 excl VAT); corporate events also need an electrical certificate of compliance.
Crew on the day
A full meal and two still waters per crew member at the reception (no alcohol; our crew never drinks on the job). Crew size follows your package: a DJ, an assistant and a chapel technician up to Gold, three on Diamond, four on Platinum and eight on Inimitable; your package page states it. For venues more than 60 km from our warehouse, the client arranges accommodation for the whole crew within 5 km of the venue; if it is further than 5 km from the venue, transport is charged.
Delivery and setup
Travel and setup are itemised on your quote. We arrive early and are set up well before your guests arrive; the event start time in your booking is when music begins.
Online enquiries
Before anything is confirmed you are shown a full summary to review and correct (Electronic Communications and Transactions Act s43). Pencilling a date online is free and creates no obligation; a booking exists only once Robyn has confirmed and your deposit is received. The seven-day cooling-off right in section 44 of that Act does not apply to leisure services booked for a specific date (section 42(2)(j)); once Robyn has confirmed and the deposit is received, the cancellation terms under Locking a date apply. Complaints: email info@xpsl.co.za or phone 072 403 1895. We do not subscribe to an alternative dispute resolution code (section 43(1)(o)). You can keep a record of your booking: the summary shown before you send is yours to save or print, and Robyn emails your quote and invoice, which we keep for five years; ask info@xpsl.co.za for a copy at any time.
Signing on someone's behalf
If a person acts on your behalf with your permission, the person who signs the document (signatory) confirms that he/she has permission to sign this agreement and that he/she accepts this agreement on your behalf.
These booking terms reflect Xtreme Events' standard conditions; the signed quotation and its terms take precedence. Last updated: October 2026.
